From morning meeting through planned tasks to the unexpected things that always come up

Property service is a trade where you rarely know exactly how the day ends when it begins. You have planned tasks, but something unexpected always comes up. Being able to keep an overview when multiple things press in is a core competency. This is what a typical day looks like.

§Morning round

Many start the day with a round: a look at the property the technical rooms common areas and outdoor areas. Has anything broken overnight? Is there rubbish icy ground a leak an alarm that has sounded? The morning round catches problems before residents and users meet them and gives you the day's first overview of what is urgent.

Then there's what can't wait: a burst water pipe, an elevator that's stuck, a door that won't lock, heating that fails in the middle of winter. Here it's about assessing what you can solve yourself and when you need to call in a professional or a supplier. Knowing your own limits is part of professionalism — some tasks require licensed tradespeople and you need to know that.

§Contact with people

An underestimated part of the trade is the people. You meet residents, tenants, users, boards and suppliers every day. Many experience you as the property's face. Being accommodating explaining what is happening and reporting back when a task is completed means a lot for how a property is perceived. Good service is often just as important as good technique.

§Documentation and closing

Finally during the day — or continuously — you note what has been done: which tasks, which materials, what is missing and what needs to be followed up. Good documentation means that the next person to come to a task can see the history, and that planned maintenance is actually kept. What is not written down is easily forgotten.

§Why overview is the core

The trade rewards those who can plan and keep their head cool when several things happen at once. You juggle planned and acute tasks, people and machines, and you need to know when to act yourself and when to get help. The person who has an overview accomplishes more in a day and makes fewer errors along the way.

You cannot control what the day throws at you, but you can control how well you have on top of what you already know needs to be done.
