Digitalization in everyday life: new tools at the workplace
How the hardware is replaced and updated
Digitalization is about letting computers apps and systems take over or support tasks we previously solved manually. It can be anything from recording work time and ordering materials to sharing documents and communicating with colleagues. For many employees it means that part of the work moves from paper and phone to a screen.
§Why are workplaces digitalising?
The purpose is rarely the technology itself. The goal is usually to make work more manageable to avoid duplicate work and to gather information in one place so it is easy to find. When a system works well you no longer have to search for papers or make calls to find out what the status is.
§To get off to a good start with a new system
It is completely normal to feel slow and unsure at first. A new system is like a new tool — it takes time to learn where the buttons are. The important thing is to give yourself permission to practice and to ask when something is unclear.
- 01Start with the few features you use most and learn them well
- 02Find out where you can get help — a colleague, a guide or a support function
- 03Don't be afraid to press incorrectly; most systems cannot be damaged by a wrong press
- 04Note the steps you often forget until they stick
§Beware of data and access
When work becomes digital keeping track of passwords and data becomes part of doing your job. Keep your passwords to yourself lock your screen when you leave it and be aware of what information is sensitive. If you are unsure about a suspicious message or link ask rather than click.
§The person behind the screen
Digital tools should serve people not the other way around. Take breaks from the screen say something if a system makes work difficult instead of easier and remember that a short face-to-face conversation is sometimes better than ten messages. The best digital workplaces listen to employee experiences and adjust systems accordingly.
Digitalization is not a goal you reach once and for all. Tools change and learning something new becomes an ongoing part of working life. The person who dares ask and practice keeps pace easier.
