Template: receipt inspection of watch for repair

Document the watch's condition before you touch it

This template helps you document a watch's condition before you touch it. Good incoming inspection protects both you and the customer against later disagreement about what damage or defects were there in the first place.

§Why receiving inspection is important

A watch turned in for repair may have scratches, dents, or worn parts that the customer hasn't noticed—or that the customer later questions when they appeared. By systematically recording the watch's condition before work begins, you avoid discussions that can cost both trust and time.

§How to communicate professionally with customers

  • 01Take pictures of the watch from multiple angles before you touch it
  • 02Examine glass box and strap under a magnifying glass and note even minor damage.
  • 03Ask the customer to confirm the description and preferably get a signature or receipt
  • 04Save the form with the rest of the case, so it can be found again if needed

Feel free to combine this receiving inspection with a clear agreement on price and scope, so you and the customer agree both on what was wrong with the watch at receipt and what should happen next.
