Checklist: CE documentation package

Inspection of technical file, bill of materials and instruction manual before release

Review the list point by point before the documentation package is released. Mark each point as OK, Missing or Not applicable, and note responsible and date. The list does not replace legal review — it ensures the documentable basis is in place and consistent.

§1. Technical file

  • 01All valid drawings are in the latest released revision – no working copies.
  • 02Calculations and design basis are attached and dated.
  • 03The risk assessment is updated to the current design.
  • 04Applied standards are listed with correct designation and year.
  • 05Testing and test reports are attached where required.

§2. Bill of materials and drawing consistency

  • 01Each position on the assembly drawing appears in the parts list with the same number.
  • 02Number, designation, material, and any standard/supplier number are filled in for all items.
  • 03The part list revision matches the drawing revision.
  • 04Purchased standard components are listed with a unique type designation.
  • 05Spare parts list has been prepared or marked as not applicable.

§3. Instructions for use and safety instructions

  • 01The instructions cover transport, assembly, operation, maintenance and disposal.
  • 02Remaining risks from the risk assessment are described with associated warnings.
  • 03Illustrations correspond to the delivered configuration — not an older variant.
  • 04Language versions for the country of use are planned or delivered.
  • 05Delivery format (paper/digital) is agreed and meets applicable regulations — under the Machinery Regulation (EU) 2023/1230, a paper copy must be able to be provided upon request.

§4. Marking and declaration

  • 01Machine carpenter
  • 02The EU declaration of conformity refers to the correct, applicable legal acts and standards.
  • 03The declaration is signed by the person responsible at the manufacturer.
  • 04The CE mark is affixed first when all the above points are closed.
