Startup meeting agenda: roof contractor

Agenda for the first meeting on site — everything that needs to be clarified before the first roll is laid

Use the agenda as the notice of meeting and write the decisions directly under each item — then the minutes are ready when the meeting ends. Participants typically include the site manager the roofing master/conductor the foreman/crew chief and possibly the client's representative and workplace environment coordinator.

§1. Project basis

  • 01Valid drawings, roof plan and tile plan — version and date confirmed.
  • 02Roof build-up and system solution: membrane type, insulation, fastening, fire class (BROOF(t2) documentation).
  • 03What instructions are followed (manufacturer's system instructions, PTM instructions, BUILD)?
  • 04Interfaces with other trades: flashings, skylights, roof technology, lightning conductors.

§2. Safety and working environment

  • 01Faldsikring: hvem etablerer og vedligeholder rækværk/skærme, og efter hvilken klasse (DS/EN 13374)?
  • 02Access ways to the roof: stairwell, scaffolding, ladder — and escape routes.
  • 03Cordoning below the work area against falling materials.
  • 04Holes in the roof surface (skylights, openings): protection against falling through.
  • 05Hot work: agreement form, certificates, fire watch and extinguishing equipment — who provides what?
  • 06Plan for Safety and Health (PSS): the main contractor's points are reviewed.
  • 07Weather limits: when is work stopped (wind, icing, thunder warning)?

§3. Logistics and materials

  • 01Crane/hoist times and load zones on the roof (point load! Rolls and pallets must not overload the deck).
  • 02Storage area: rolls upright, dry and protected; gas cylinders in approved depot.
  • 03Waste management: container for cardboard scraps, granulate and packaging.
  • 04Current, water and crew facilities.

§4. Time and process

  • 01Timeline with milestones: vapour barrier closed, insulation, underlay, overlay, details, delivery.
  • 02Sequence of roof surfaces/phases and requirement for closed roof at the end of the day.
  • 03Notification of inspections: which checks will the site manager see before closing?

§5. Quality assurance and delivery

  • 01QA form and photo documentation: scope and format agreed (see trade's QA form for roof paper covering).
  • 02Tightness check: method and timing — especially if the roof is to be covered (green/inverted roof).
  • 03Deviation procedure: how are deviations from the project reported and approved?
  • 04Operation and maintenance materials for the client.
