Template: Parent meeting — preparation and implementation
Agenda and checklist for the good parent meeting
Parent talks are a recurring part of everyday life in day care. This template is a practical checklist you can use — always adapt it to your workplace's own procedures and to the specific conversation.
§Before the conversation
- 01Collect concrete observations and any practice narratives about the child.
- 02Book room and time, and inform relevant colleagues about the conversation.
- 03If there is concern for the child's wellbeing, inform your pedagogical leader before the conversation.
- 04Clarify need for interpreter and book well in advance if relevant.
- 05Prepare a short agenda so the conversation doesn't become random.
§Agenda for the meeting itself
| Point | Questions/focus | Notes |
|---|---|---|
| Welcome | Create a safe and informal start | |
| The child's everyday life | How does the child thrive in play and community? | |
| Development. | What is going well, and where is the focus in the future? | |
| Parents' perspective | What do you experience at home? | |
| Agreements | What specifically do we do going forward, and who does what? | |
| Collection | Short summary of what was agreed |
§After the conversation
- 01Document the content of the conversation and the specific agreements shortly after, while it is fresh in your memory.
- 02Set a follow-up date if action has been agreed.
- 03Only pass on relevant information to colleagues who need it in their work with the child — remember confidentiality.
- 04Evaluate after the follow-up period whether the agreements worked.
A good presentation explains the problem the solution and justifies the professional choices of components and safety solutions.
