Checklist: image and license management in projects
Document rights to all material in a task
§Before the material is used
- 01Is the source known for each element (stock service, photographer, customer, own material)?
- 02Has the licence been read — not just the heading but the terms for this specific use?
- 03Does the license cover the medium (print/web/social media), circulation/reach, and period?
- 04Is crediting required — and is it planned into the design?
- 05Are there recognizable people in the images, and is there consent/model release for commercial use?
- 06Are the font licences in place for the intended use (number of users, embedding in files, web use)?
§When the customer provides material
- 01Has the customer confirmed in writing that they have the rights to the supplied?
- 02Has it been agreed who bears the responsibility if a third party raises claims later?
- 03Have sources for 'found' images from the customer's side been clarified — or replaced with legal material?
§License log (fill in per element)
| Element/filnavn | Source | License type | Permitted use | Expiry | Proof saved (yes/no) |
|---|---|---|---|---|---|
§Upon delivery and archiving
- 01Have licence certificates, receipts and consents been stored with the project?
- 02Does the log file indicate which elements CANNOT be reused in other tasks?
- 03Has the customer been informed of limitations (e.g. that a stock image cannot be used in new campaigns without a new licence)?
- 04Are expiration dates noted if a licence is time-limited?
