Backup Routine: 3-2-1 Rule in Practice

§3-2-1 rule

A recognised rule of thumb for safe data storage: keep at least 3 copies of your files, on 2 different types of media, of which at least 1 copy is stored in a different location than the others. If you follow the rule consistently, your photos will survive even a single failed drive, a stolen computer or a fire at work.

• 01Copy 1: original files on memory card until transferred and verified
• 02Copy 2: main archive on your work computer or local external drive
• 03Copy 3: external backup stored at different physical location than studio — or in a cloud solution

§The routine after each recording

• 01Transfer all files from the card and verify that the transfer is complete before formatting the card

• 04Send or synchronise the third copy to an offsite storage or cloud service as soon as possible

• 01Check regularly that external drives and cloud backup actually work — a backup that is never tested is not a reliable backup
• 02Replace older hard drives before they are statistically in the risk zone for failure.
• 03Keep track of which tasks have been deleted from the active work drive but still lie in the long-term archive
